FREQUENTLY ASKED QUESTIONS
Standard and Secure Healthcare, explained.
The two environments are intentionally separate. These answers cover scheduling, team access, sign-in, account separation, healthcare use, MFA, and notifications.
Is there a Free plan?
Yes. Answer Practice Standard has a Free plan at $0/month with 25 calls per month and no credit card required. Core features can be used on Free, including the AI receptionist, call summaries and messages, transcripts when available, basic routing, and basic scheduling workflows.
What happens after I use 25 calls on Free?
Answer Practice pauses live answering for the Free plan until the next monthly usage period unless you upgrade. The account message is: “You’ve reached your 25-call monthly limit. Upgrade to keep Answer Practice answering your calls.”
What is the difference between Standard and Secure Healthcare?
Standard is for general business calls where patient-specific protected health information is not expected. Secure Healthcare is a separate healthcare environment for practices whose calls or appointment workflows may include individual patient information, symptoms, appointment details, insurance information, transcripts, detailed summaries, or recordings containing patient-specific information.
Does Answer Practice include appointment scheduling?
Yes. Standard and Secure Healthcare each have their own built-in Schedule. When scheduling is configured, you can define services, staff or provider resources, availability, and AI booking behavior. Appointments can be booked, rescheduled, cancelled, and tracked, with reminder workflows available inside the same environment. External calendars or EHR integrations are separate from the built-in Schedule.
Can different staff members have different access?
Yes. Team & Access uses roles for Owner, Admin, Scheduler, Provider, and Viewer. High-risk actions such as billing, activation, agreements, and account deletion are restricted more tightly than ordinary read or scheduling work.
Can I use the same email address for Standard and Secure Healthcare?
Yes. The same email address can be used in both environments. The accounts remain separate: sign-in, settings, call records, schedules, billing, and application data are not automatically shared between Standard and Secure Healthcare.
If I already use Standard, is moving to Secure Healthcare an account migration?
No. Start a separate Secure Healthcare setup. Your existing Standard account, records, settings, schedule, and billing remain in Standard unless you separately change or close them.
How can I sign in to Standard?
Standard supports Continue with Google or an email magic sign-in link. It does not currently use a traditional email-and-password form.
If I used Google for Standard, can I also sign in with an email link sent to the same Gmail address?
Yes, for the same verified email address. Standard uses Supabase Auth, which can link supported identities that share the same verified email to the same user. This does not link Standard to Secure Healthcare; it only applies inside the Standard authentication environment.
Does Secure Healthcare support Google sign-in?
No. Secure Healthcare currently uses its own Cognito authentication environment with required multi-factor authentication. Google sign-in is not enabled for Secure Healthcare.
Is MFA required for Secure Healthcare?
Yes. Secure Healthcare requires multi-factor authentication and currently uses a software authenticator app (TOTP) as the second factor.
Do Standard and Secure Healthcare share call history, schedules, or settings?
No. They are deliberately separate environments. A call, appointment, rule, practice profile setting, subscription state, or other record in one environment does not automatically appear in the other.
Which environment should I choose if patient information might be discussed?
Use Secure Healthcare whenever real calls or appointment workflows may include patient-specific information. Standard should not be used to collect, store, or transmit patient-specific health details.
Do email or SMS notifications from Secure Healthcare include patient details?
Secure Healthcare notifications are designed to be generic and privacy-minimal. They direct authorized staff to sign in securely rather than placing caller or patient details in the notification itself.
Are Secure Healthcare recordings downloadable from a permanent public link?
No. Secure Healthcare uses authenticated access for protected recordings and does not store a permanent public Retell recording URL in the application database.
Where should I go if I am not sure which account I have?
Start at the main sign-in chooser. Select the environment where your practice was set up. Using the same email address in both environments does not combine them.
